Hello all,
For those who were unable to attend this evening's meeting I just want to
pass on an announcement that was made.
I have decided to step down as caretaker of Staffslug, due to work and
other commitments.
Increasingly, I will be unable to devote time to the lug which I feel it
needs to keep it going and do not want to see it just limp along. The lug
and its members deserve better.
I have very much enjoyed my time looking after the lug and look forward to
seeing a new and dynamic future for it.
Thank you again for all the help I have received from people over the last
few years keeping Staffslug going and for getting it to where it is now.

Perhaps I was wrong in saying the word 'committee'? I don't mean
anything 'formal' as I don't think that is either needed or wanted. I
honestly can't think of another way of putting it but it would be good
to have a few members who 'look after' specific areas of the LUG.
Otherwise, as so often happens, it will all fall onto one person's
shoulders.

To be honest... I think that there is a lot of work for 1 person, but hardly any for two
people.. If that makes sense?
For example, I could maintain the list and website while Ben organises the monthly meets,
and their content. Anything more could then be a joint thing.

Perhaps committee is the wrong word, but having a group of people who
help out with certain aspects of the lug is a good idea. We did discuss
this a couple of months ago, and a few of us volunteered to help out
with specific things.

Lo,
I've always felt the LUG needed to have some kind of cash, with cash you
have trips and competitions which can be fun (I've got loads of books,
gadgets that I thought could go in a geeky raffle :P). With that in mind
I feel 3 people at minimum are needed...
- A chair, someone to lead who is charismatic, a people pleaser who can
regularly show up to meetings and give direction.
- A secretary, someone who can handle IRC, mailing lists, updates to the
web site, etc...
- A treasurer, someone who can handle the finances.
I've ran university union societies before so I have a lot of experience
to offer to such a set up if that is the way it goes.
In regards to the cash element, I run a not for profit company called
Function Office (look at WebCheck) that focuses on open source orientated
communities, we get charged no corporation tax at all, free non-profit
business banking with debit cards at Lloyds TSB, and I can make
subaccounts - so can easily make a community sub account for the LUG to
use. Not to mention we have loads of servers (or make a free virtual
server!) to host anything you like including the web site using open
source software.
At a push I'd take a role of treasurer since it's the least time
consuming, but only if no one else came forward... as you can see from
above I have plenty to run already :P

We wouldn't get recognized as a charity simply based on the fact that we
are not helping a group in need - and there is a whole whack of paper work
involved even if we did.
A company, charity with/without a committee is just way too much for a
community that sometimes goes a few months rather dead on its feet at this
point. A committee would end up having us all on it! (and potentially not
showing up!)
Function Office is a limited company by guarantee like Nominet, Network
Rail or most Student Unions (which is the closest you get to a non-profit
company in the UK). We get loads of discounts of everything because of
this status but we also have to deal with proving our income to HMRC,
regular annual returns to companies house, and filing for a company return
which has a fee every year.
I created Function Office to be the technological equivalent of a "Student
Union" for societies that needed support but were committed to open
source/free software usage, ideal for any LUG. And it means the LUG gets
the benefit of what we've already organised here in terms of our
non-profit status.
Function Office hosts (for free) lots of individuals and groups services,
here are some of the groups...

- www.mode-7.com
- www.newcastlelibdems.org.uk
I don't mind extending banking as service, mail redirection (real mail,
not e-mail :P), and other non computer things.

meetings " and have, sadly, missed the last few techie evenings.
My only experience of clubs has been to do with cars. This experience
has shown me that the only way to run a small club is by a benevolent
dictatorship.
Committees invariably end up in discussion and precious little else.
A dictator ( if someone is prepared to do it ) is good, Events are
proposed then either you go, or you don't. Take it or leave it.
Consultation is for governments, where time and money are meaningless.
Only my worthless opinion.

I was about to disagree with Stuart... until I thought properly about
it. I agree entirely now :-) In fact I can give a real time working
example of a well run (I hope) benevolent dictatorship. My own
Freeworld-Recycling. We have a committee with myself at the helm as
chairman. We have full and properly written constitution which is
simply a list of what we are about and we will and will not do. It is
semi legally binding but it has never gone through a lawyer or
anything. We had to have a constitution in order to set up a bank
account and apply for funding. I don't think we need to go that far
down the route with the LUG. A constitution would be good for us all
if we do have a committee. It can be written into, and agreed by all
current members, that said committee is properly elected and reviewed
every 12 or 24 months. It does not need to be formal just giving set
roles to those who wish to participate that little bit more.

Based on what people are saying, which is a lot :)
I think that because the group is so small at the moment, the only way
anything is going to "get done" is to have someone that has a final
say. Otherwise we'll end up spending 4 weeks deciding something that
everyone has a differing opinion on. I think the best bet is to allow
someone to become the lugmaster, if they are rubbish (theoretically
speaking here), everyone will complain and vote them off. If there is
a committee the problem you have is everyone is so busy listing to
what someone else has to say and trying to make the other person
happy, as above, nothing happens.
I do think someone who is going to be active in the community, and
someone who is going to want to consider events is the best way to go
forward. We need to develop more of a following to even consider a
committee in the first place.

So, how about we have any 'issues' decided by secret poll. There are
plenty of online polling resources (free if not FOSS). All we need to
do is agree to abide by this method once. That way we don't spend
weeks and weeks debating something back and forth. Are we really
likely to do that anyway?

So far I can see there are only me and Adam that are volunteering to take on
that role jointly. Since no-one else has stepped forward, can I ask is there
